When you need to categorize transactions in Xero in bulk, coding them one at a time in the reconciliation screen is the slow path — and on a catch-up file it’s where the hours disappear. Xero gives you a few ways to speed it up, from bank rules to coding everything before it ever reaches Xero. Here’s how each works and when to use it.
Option 1 — Bank rules
Xero bank rules auto-suggest an account (and tax rate) when a transaction matches conditions you set — payee contains “Uber” → Travel, for example. Set them under Accounting → Bank accounts → Bank rules. Good rules let you reconcile recurring activity with one click going forward.
Where they fall short: rules only help for patterns you’ve already built, and writing solid Xero bank rules for a fresh client takes time. For a one-off historical pile, you may spend longer building rules than they save.
Option 2 — Reconcile similar items together
In reconciliation, Xero groups look-alike transactions and lets you apply the same treatment across matches. Use it to clear clusters of identical payees quickly. It’s the fastest native way to categorize transactions in Xero in bulk when you have many repeats — but anything ambiguous still drops back to one-at-a-time.
Option 3 — Code transactions before importing
The biggest time saver on volume work is to code transactions before importing them into Xero at all — so they arrive already classified rather than as a wall of uncoded lines. Instead of importing raw data and then coding, you code first and bulk import coded transactions into Xero as a precoded file.
